1. Introduction

MyZivo.ai provides ZIVO, an AI-powered conversational companion available via our mobile applications and website at MyZivo.ai / Zivo (the “Service”). This Privacy Policy explains what personal data we collect, how and why we use it, who we share it with, how long we keep it, and the rights and choices you have.

This Policy applies to users of the Service who are 18 years of age or older. By using the Service you acknowledge this Policy. Where we rely on consent, we will ask for it separately as required by law.

When we refer to “you” or “user” in this policy, we mean any person who accesses or uses our website, app, platform, or services (collectively, the “Service”).

References to “personal data” / “personal information” mean information that identifies, relates to, or can reasonably be linked to an identifiable individual.

2. A note about your conversations

ZIVO is a conversational companion. The messages you exchange may include personal and sometimes sensitive details. We process this conversation data to provide the Service — primarily so the Service can respond to you, remember relevant context, and personalize your experience.

3. Personal data we collect

A. Information you provide

  • Account information: name, email address, password, and authentication identifiers (including details shared by Google / Apple / other if you sign in through them).
  • Profile information: information you choose to provide during onboarding, such as date of birth/age, pronouns, role, work context, preferences, and your LinkedIn details if you choose to share it.
  • Messages and content: the text, emojis, images/screenshots, and other content you send and receive in the Service.
  • Content you create, or provide through camera or our voice-enabled features.
  • Payments and transactions: if you purchase a subscription, our payment processor collects payment details; we keep a record of your transactions and entitlements.
  • Support and communications: information you provide when you contact us or respond to surveys, give feedback.

B. Information we collect automatically

  • Device and network data: device type and model, operating system, browser, app version, IP address, device/cookie identifiers, language, carrier, and approximate (e.g., city-level) location.
  • Usage data: how you interact with the Service — features used, buttons clicked, screens viewed, session timing, actions and interactions with the Service and their metadata.
  • Cookies and similar technologies.

C. Information from third parties

Information you provide via integrations you connect (LinkedIn, Gmail, Calendar, Slack), authentication providers, analytics, fraud-prevention.

4. How and why we use your data, and our legal bases

We process personal data for the purposes below. For users in the EEA/UK, the applicable GDPR legal basis is noted; for users in India, processing is generally based on your consent or, where applicable, “legitimate uses” permitted under the DPDP Act; for US users, we process as described and offer the choices in Section 8.

5. Sensitive personal data

The Service is designed to function without special-category / sensitive data (e.g., data revealing health, mental health, racial or ethnic origin, religious or philosophical beliefs, political opinions, sex life or sexual orientation, biometric or genetic data). We do not solicit it.

Because of the conversational nature of ZIVO, you may incidentally share such information. If you do, we process it only to provide the Service as described in this Policy. Please avoid sharing sensitive information you do not want processed. Where applicable law requires explicit consent to process sensitive data, by choosing to provide it after seeing this notice you provide that consent, which you may withdraw at any time (withdrawal does not affect prior lawful processing). You can request deletion as described in Section 8.

6. How we share your data

We share personal data only as described here:

  • Service providers / processors: hosting, AI model providers, analytics, customer support, email delivery, and payment processing — bound by contract to protect your data and use it only on our instructions.
  • Payment and app-store providers: to process payments, subscriptions, and refunds.
  • Professional advisors: lawyers, auditors, and insurers, where necessary.
  • Authorities: where required by law or to protect rights, safety, and property.
  • Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.

8. Your rights and choices

Depending on where you live, you may have some or all of the following rights regarding your personal data:

  • Access / confirmation — obtain confirmation of, and a copy of, the data we hold and a summary of our processing and recipients.
  • Correction — correct inaccurate or incomplete data.
  • Deletion / erasure — request deletion of data we no longer need. Deletion extends to data held by our processors, including AI providers, per our contracts. You can delete your account in settings.
  • Portability — receive certain data in a portable, machine-readable format.
  • Withdraw consent — where we rely on consent (does not affect prior lawful processing).
  • Object / restrict — object to or restrict processing based on legitimate interests, including for direct marketing.

To exercise any right, contact us at support@myzivo.ai. We may need to verify your identity. Marketing opt-out: use the unsubscribe link in our emails or your account settings.

11. Data retention

We retain your personal data for as long as your account is active or as needed to provide the Services. Specifically:

  • Account data: Retained for the duration of your account and for up to 90 days after account deletion (to enable recovery if you change your mind).
  • Conversation messages, profile, and preferences: For the life of your account and up to 90 days after account deletion.
  • Usage and log data: Typically retained for 12–24 months for analytics and security purposes, then aggregated or deleted.
  • Legal hold: We may retain data longer if required to comply with a legal obligation or to resolve a dispute.

12. How we protect your data

We use industry-standard technical and organizational measures — including encryption in transit, access controls, and secure hosting — to protect your data. No system is 100% secure; in the event of a breach affecting your data, we will notify you and the relevant authorities as required by applicable law.

14. Children

The Service is intended for users 18 and older and is not directed to children. We do not knowingly collect personal data from children below the applicable age. If we learn we have, we will delete it and close the account.

15. Changes to this Policy

We may update this Policy from time to time. We will post the updated version with a new “Last updated” date and, for material changes, provide additional notice (in-app or by email) and obtain fresh consent where required by law. Please review it periodically.
